Supported formats
Contact imports and exports use CSV or Excel (.xlsx) files. The options are in the Contacts area itself.
Preparing the file
- Use the first row for column names, such as Name, Email, Phone, and Job title.
- Put one Contact per row.
- Include the country code in phone numbers whenever possible. When a number has no country code, the CRM uses the region chosen for the import.
- Columns that do not exist in the CRM can become a custom field during mapping, or be ignored.
Social profiles
Write social profiles in a single column, separating each profile with a semicolon. You can put the network name before the address:
linkedin: https://linkedin.com/in/ana; instagram: https://instagram.com/ana
Or just enter the profile address:
https://linkedin.com/in/ana
Empty cells and clearing a value
- An empty cell changes nothing. If the Contact already exists and the cell is blank, the current value is kept.
- To clear a value, write
__CLEAR__in the cell. This empties the field, as long as it is not required. - Columns you do not map also stay as they are.
Import step by step
Upload the file
Select the CSV or Excel file and give the import a name that is easy to recognize. This name appears in the history and when you create audiences.
Review the mapping
Check which spreadsheet column goes to which CRM field. The CRM suggests matches and shows samples from each column.
Choose how to handle duplicates
You can skip duplicates, update existing records, or create them anyway.
Validate and run
The CRM validates the spreadsheet before saving anything. After you run it, you can close the window: the import keeps going in the background and the result is kept in the history, with a report of the rows that failed.
What an import does not do
A Contacts import also does not convert Leads into Contacts. If the same person already exists as a Lead, the Lead stays. Conversion is always an action taken by the team.
Exporting Contacts
In the Contacts list, use the export option and choose:
- Records: all, only those matching the current filter and search, or only the selected ones
- Fields: which columns go into the file
- Format: CSV or Excel (.xlsx)
Social profiles are exported in the same format used for imports, with profiles separated by semicolons. That way, the exported file can be adjusted and imported again.
